Performs comprehensive and specialized administrative functions of a highly responsible and confidential nature for the Executive Leadership Team of Carondelet Health Network. Work is to support office, coordinate information. Additionally work will be interface with internal and community executive representatives.
Prepare and coordinate the receipt of materials for Committees or Councils for review: consent agenda items from board subcommittees, action items, and informational items.
Follow up and coordinate items assigned for action at committee and/or councils.
Prepare agendas, record and publish minutes, charters, and guidelines for committees and/or councils. Distribute meetings minutes within five business days of the meetings.
Maintain schedule for meetings, appointments, and arranges travel.
Prepare check requests, credit card statements, and employee expense claims for Executive Leadership Team members.
Analyze and prepare executive summaries of various operating and administrative reports.
Compose correspondence and memoranda and compiles required documents and reports.
Plan, coordinate, and implement special events--receptions, luncheons, dinners, and retreats, etc.
Process incoming correspondence for Executives review and direction.
Research, analyze, and summarize statistical data for benchmarking purposes.
Participate in technical development activities/education to enhance job performance.
Demonstrate and apply knowledge of computer hardware and software applications.
Level 2 â�� Proficient (in addition to above duties) Coordinate all associate and leadership forum meetings. Draft agendas, presentations, load equipment, room setup, etc. Perform complex calendar management.
Draft internal and external correspondence including executive summaries, letters, memos, etc.
Receive and respond to an average of 100 emails daily.
Provide ongoing support related to hospital regarding contracts, letters, forms, presentations, agendas, scheduling of meetings, etc.
Assemble and maintain information needed for calendars, press releases, forms, newsletters, surveys, etc.
Level 3 â�� Subject Matter Expert (in addition to above duties) Perform extensive moderate to complex problem solving related to administrative emergencies.
Perform Network related functions such as scheduling of meetings, preparation of agendas, presentations and minute taking, processing of contracts.
Assist with financial budgeting procedures.
EDUCATION Required: High School Diploma or General Education Diploma (G.E.D.) Preferred: Associates degree insecretarial science or office administration or ten years progressively responsible experience in secretarial field.
LICENSURE Preferred: Arizona Driverâ��s License
WORK EXPERIENCE Required: Five to 10 years of progressively responsible administrative secretarial/support experience.
